How do we protect your data?
MANCAVE is committed to protecting your personal data. All information you provide to us will be used in accordance with MANCAVE's data protection policy.
Your personal data will be stored securely in our database hosted on a secure server. Access is restricted to staff and volunteers who need to see the data to carry out their duties at MANCAVE. User access rights to the database are restricted according to individual roles and need, in order to ensure that users only see information relevant to them. Data held on paper are secured.

So, how is your data used and processed?
MANCAVE processes data containing:
names, titles, and aliases, photographs;
Contact information including telephone numbers, postal /residential addresses, and email addresses;
Where there is a legitimate interest to facilitate our aims and activities, or where you have provided them to us, we may process demographic information such as gender, age, date of birth, marital status, nationality, education/work histories, academic/professional qualifications, hobbies, family composition, dependants, next of kin and emergency details;
Where you give financially in support of MANCAVE or pay for activities (e.g. event bookings etc.), financial identifiers such as bank account numbers, payment card numbers, payment/transaction identifiers, the data we process is likely to constitute sensitive personal data because the very fact that we process your data at all may be suggestive of your religious beliefs. Where you provide this information, we may also process other categories of sensitive personal data: racial or ethnic origin, sex life, mental and physical health, details of injuries, medication/treatment received, political beliefs, data concerning sexual orientation and criminal records, fines and other similar judicial records.
Other operational personal data created, obtained, or otherwise processed in the course of carrying out our activities/duties, including but not limited to, recordings of MANCAVE events telephone conversations, IP addresses and website visit histories.
All our appointed persons will comply with their legal obligations:
to keep personal data up to date;
to store and destroy it securely;
to not collect or retain excessive amounts of data;
to keep personal data secure: and
to protect personal data from loss, misuse, unauthorised access and disclosure, and to ensure that appropriate technical measures are in place to protect personal data.

What are we doing with your data?
We only hold data that either we are legally obliged to.
Therefore, we will hold and process data to:
Enable us to meet all legal and statutory;
Help you grow as a disciple and to minister to you and provide you with pastoral and spiritual care,
Administer and update our visitor records of adult and child visitors;
Enable us to follow up event enquiries;
Promote the interests of MANCAVE
Maintain our own records;
Communicate with you about our work and your views or comments;
Update you about changes to our services, events, role holders and any matters of interest related to you and MANCAVE
Send you communications, which you have requested and that may be of interest to you. These may include information about events, courses, updates campaigns
Additional data processing:
We will process data about role holders for legal, personnel, administrative and management purposes, and to enable us to meet our legal obligations. For example to pay role-holders, monitor their performance and to discuss benefits in connection with your engagement as a role holder. “Role Holders” includes volunteers, employees, contractors, agents, staff, retirees, temporary employees, beneficiaries, workers and other role holders.

What is our legal basis for processing your personal data?
Most of our data is processed because it is necessary for our legitimate interests to enable our aims and objectives. For example, maintaining communication/records, and operating team rotas for the effective function of our events.
Some of our processing is necessary for compliance with a legal obligation.
We may also process data if it is necessary for the performance of a contract with you, or to provide a direct service to you. For example, if you buy tickets for an event.
Where your information is used, other than in accordance with one of these legal bases, we will first obtain your consent to that use.
Will we share your data?
You can be reassured that we will treat your personal data as strictly confidential. It will only be shared with third parties where it is necessary for the performance of our tasks or where you first give us your prior consent. It is likely that we will need to share your data with some or all of the following (but only where necessary):
Our agents, servants and contractors. For example, we utilise commercial providers to send out information (e.g. event information) on our behalf, and to maintain our database software.
How long will we keep your personal data?
MANCAVE considers its relationship with attendees etc. to be lifelong, and we will hold your details until you tell us you no longer wish to hear from us. Our general rule is to keep personal data no longer than necessary for the purposes for which it was collected, unless otherwise advised, and in accordance to records retention schedule. Where you continue to actively engage with our activities and events, we will retain the appropriate data for you so that we can best serve you.
We operate to an annual process of review, by which we assess who is actively engaging and where this is not the case, we will contact you to confirm that your data will be removed. Any data that is deemed no longer required will be deleted or archived.
Additionally;
We will keep some records permanently if we are legally required to do so.
We may keep some other records for an extended period of time.

MANCAVE will request your consent as the legal basis for processing, where this is not overridden by the interests and rights or freedoms of the data subjects concerned. We recognise that this is not the only lawful ground for processing data.
Your personal information will be used to provide any services you have requested and to keep in touch with you. We may communicate with you about the following:
Updates and news;
Invitations to events/activities;
Ways to get involved;
Services you have requested or that may be of interest;

We will ask for your consent to contact you for specific purposes and will only contact you through the communication channels you have consented to. Unless you have requested otherwise, your data is used and processed for the full range of supporter activities and programmes, and all relevant communications, marketing activity. Note that we may have to contact you for a reason where your consent is not required, for example to comply with the law, or to fulfil a contractual obligation.
Where do we collect the data from?
The majority of the data we hold is obtained directly from you, for example when you:
Make a payment to an event (MANCAVE does not store any credit/debit card details);
Register for an event;
Complete an application/registration form or other forms;
Contact us with an enquiry;
Complete a survey;
Volunteer at MANCAVE;
Attendance registers;
Have a key role at MANCAVE working in partnership with us;
Purchase goods or services from us;
Otherwise provide us with personal information.
We may also collect information from other sources, for example:
We may use the Royal Mail’s postcode finder or PCA Predict to check the accuracy of the address we hold;
Information made available publicly by Linked In, social media etc.
What are your rights in regards to your personal data?
You have the following rights with respect to your personal data. When exercising any of the rights listed below, in order to process your request, we may need to verify your identity for your security. In such cases we will need you to respond with proof of your identity before you can exercise these rights.
The right to be informed

The right to access information we hold on you.
At any point you can contact us to request the information we hold on you as well as why we have that information, who has access to the information and where we obtained the information from. Once we have received your request we will respond within one month. There are no fees or charges for the first request but additional requests for the same data may be subject to an administrative fee.
The right to correct and update the information we hold on you.
If the data we hold on you is out of date, incomplete or incorrect, you can inform us and your data will be updated. The right to have your information erased.
If you feel that we should no longer be using your data or that we are illegally using your data, you can request that we erase the data we hold. When we receive your request we will confirm whether the data has been deleted or the reason why it cannot be deleted, (for example because we need it for our legitimate interests or regulatory purpose(s)).
The right to object to processing of your data.
You can change your communication preferences at any time or restrict how we process your data. You have the right to request that we stop processing your data. Upon receiving the request we will contact you and let you know if we are able to comply or if we have legitimate grounds to continue to process your data. We will also advise how this may affect our service to you. Even after you exercise your right to object, we may continue to hold your data to comply with your other rights or to bring or defend legal claims.
The right to data portability.
You have the right to request that we transfer some of your data to another controller. We will comply with your request, where it is feasible to do so, within one month of receiving your request.
The right to withdraw your consent to the processing at any time for any processing of data to which consent was sought.

Third Party Partners
Your data will not be disclosed to external organisations other than those acting as agents for MANCAVE. We always make sure there are appropriate controls in place so that your data will remain secure. We will never sell, trade or give away your data.
We may use third-party partners to support our activities. If you interact with MANCAVE through a third party then we may obtain information about you from that third party. The receipt of data in this manner is subject to the third party’s own privacy policy. A list of parties with whom we partner in this way is available on request. Data obtained in this way are treated no differently to any other once held by MANCAVE, and are bound by the terms of this Privacy Notice as soon as they are received.
Unless we have a legal obligation to do so, we will not disclose your data to individuals, organisations or other entities outside MANCAVE other than those which are acting as agents for MANCAVE (for example, if we use a company to print and send out documents). Any electronic personal data transferred to countries or territories outside the EU will only be placed on systems complying with measures giving equivalent protection of personal rights, either through international agreements or contracts approved by the European Union. Our website is also accessible from overseas, so on occasion some personal data, (for example in a newsletter), may be accessed from overseas, however it is our general practice not to publish any personal data on our website or in our printed newssheets.
Further processing
If we wish to use your personal data for a new purpose, not covered by this Privacy Notice, then we will provide you with a new notice explaining this new use prior to commencing the processing and setting out the relevant purposes and processing conditions. Where and whenever necessary, we will seek your prior consent to the new processing.
